Working with Folders

In the Amazon WorkMail Web App, folders are used to store email, calendars, and contacts. Emails are stored in email folders, calendar entries in calendar folders, contacts in contact folders, etc.

Managing folders

You can organize and manage your folders by creating new folders or copying, moving, renaming or deleting existing ones. You can also mark all items in a folder as read or unread, empty your folders of deleted items and view the size of a folder and its storage usage.


Create new folders

You can create folders to organize your emails, contacts, and calendar items.

To create a new folder

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. On the taskbar, click + New item and New folder.
  3. In the Create New Folder dialog box, enter the name of the new folder in the Name field.
  4. For Folder contains, select the types of content you want the folder to contain.
  5. For Select where to place the folder, select the destination location, and then select OK.


Copying, moving or renaming folders

You can copy, move and rename folders.

To copy or move a folder

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, right-click the folder, click Copy/move, select the destination folder, and then click Copy or Move.

To rename a folder

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder and select Rename.
  3. Enter a new name for the folder.

Deleting folders

You can delete a folder that you no longer need. When you delete a folder, all the items in it are also removed.

To delete a folder

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder and select Delete.

 

Emptying the Deleted Items Folder

If your mailbox is full and you have no more space, you can empty the deleted items folder to free up space. Once you have emptied the deleted items folder, you cannot restore these items or undo the deletion.

To empty the deleted items folder

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation pane, open the context menu (right-click) for the Deleted Items folder and select Empty folder.


Marking items as read/unread

You can mark all items in a folder as read or unread.

To mark all items in a folder as read

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder and select Mark all read.


To mark all items in a folder as unread

  1. Click the Mail icon in the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, select the folder.
  3. In the content panel, select all items in the folder, open the context menu (right-click), and select Mark Unread.


Viewing the folder size

You can view the size of a folder and its storage usage.

To view the folder size

  1. Click the Mail icon in the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for an email folder and select Properties.

For more information about storage size, including subfolder storage usage, select Details.

 


Sharing folders

You can share email folders with other Amazon WorkMail users and open folders that have been shared with you. You can also view, change or remove folder permissions for a shared folder.

Note
When you share a folder with a user, you can view all the information contained in the folder, including the marked items Private (private).


Sharing E-mail Folders with Other Users

You can give another user permission to view an e-mail folder.

To share an e-mail folder with another user:

  1. Click the mail icon in the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder you want to share and select Properties.
  3. On the User details page, under Permissions, select Add or remove.
  4. Under Users and groups, select the users you want to share your folder with and click >> to add them to the Permissions list. Select Save.
  5. On the Permissions tab, select the permission level you want to grant and then select Save.


Opening shared e-mail folders

You can open an e-mail folder that is shared with you.

To open a shared e-mail folder

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation pane, select Open other inbox.
  3. Click Name in the Open other folders dialog box.
  4. Under Address Book, select the owner of the inbox you want to open and click OK.
  5. In the Open other folders dialogue box, select Inbox as the Folder type and click OK.

The shared email folders are now displayed in the navigation panel.


Note
The shared folders are stored in the Amazon WorkMail web application profile. The next time you log in to the Amazon WorkMail web application, the open folders will be displayed again.
If you receive the message "You have insufficient privileges to open this folder", contact the owner of the folder and ask them to grant you access.

To change the folder permissions, open the context menu (right mouse button) for the folder in the navigation area and select Properties and then Permissions.

To close a shared folder, open the context menu (right mouse button) for the shared folder and select Close store.


Viewing folder permissions

By default, you have all permissions for the folders and items you own. You can share your folders with other users and groups in the organization by changing the permissions for a folder. You use folder permissions to give others different access permissions to the folders and their contents.

To view folder permissions

  1. Click the Mail icon on the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder and select Properties.
  3. In the Properties dialog box, select the Permissions tab.
  4. For Profile, select a predefined set of permissions or customize the permissions.

 


Changing Folder Permissions

You can set permissions for a shared folder to specify the actions that other users can perform on items in folders shared with them.

To change the permissions for a folder

  1. Click the Mail icon in the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder and select Properties.
  3. In the Properties dialog box, select Permissions and Add.
  4. Under Address Book, select the users or groups in your organization to share the folder with and click OK.
  5. Select the user or group to whom you want to apply the permissions.
  6. For Profiles, select a predefined set of permissions or customize the permissions individually.
  7. Repeat steps 5 and 6 for all users or groups in the list.
  8. Click OK.

 


Stop sharing folders

If you have shared a folder with another user, you can end that sharing at any time.

To stop sharing a folder

  1. Click the Mail icon in the Amazon WorkMail Web App toolbar.
  2. In the navigation panel, open the context menu (right-click) for the folder and select Properties.
  3. On the User details page, under Permissions, select Add or remove.
  4. For Permissions, select the user or group to remove, then click < <.
  5. Repeat this process if necessary and then select Save.
