Working with Calendars

You can create both appointments and meetings in the Amazon WorkMail web application. An appointment is an item in your calendar that is relevant only to you. No other participants are invited.

A meeting is an item in your calendar with multiple participants. Once you invite a colleague or schedule a resource with an appointment, the appointment is automatically converted to a meeting. When you create or edit a meeting in the Amazon WorkMail web app, additional controls and buttons are available for meeting invitations.


You can share your calendar with other users and open calendars that have been shared with you.



Manage calendars

You can create, update and print appointments and meetings in your calendar. You can also cancel, reject and delete calendar events.

If another user has made you their proxy, you can schedule meetings on their behalf.



Create appointments

You can create an appointment and set a reminder to automatically remind you before the start date or time.

To create an appointment

  1. On the Amazon WorkMail Web App toolbar, click the calendar icon.
  2. Click New appointment on the menu bar
  3. Enter the following:
    • Under Subject, enter a subject for the appointment.
    • Under Start and End, set the start and end times of the appointment.
    • (Optional) Enter a location under Location.
    • (Optional) Set up a reminder under Reminder.
    • Click Save and close.

 

Tip
You can also create an appointment by double-clicking in the calendar.

 


Creating meeting requests

You can create a meeting request with participants and resources, and set up a reminder to remind you before the meeting starts.

To create a meeting request

  1. On the Amazon WorkMail Web App toolbar, click the calendar icon.
  2. On the menu bar, click New meeting request.
  3. If you want to add participants, enter their names in the To field. Amazon WorkMail suggests names from the address book. If you want to remove suggestions from this list, select a name and press Del. If you want to add users from the address book, or if you want to add them to the Required, Optional, or Resource fields, click To and select the desired users from the address book to add them to the appropriate fields.
  4. Enter the following:
    • Under Subject, enter a subject for the meeting.
    • In Start and End, set the start and end times of the meeting.
    • Under Location, enter the location of the meeting.
    • (Optional) Set up a reminder under Reminder.
  5. In the lower part of the meeting invitation, you can enter information about the meeting, such as the agenda. If you want to add an attachment to the meeting invitation, click Attach.
Select Send invitation.


Editing meetings and appointments

You can edit a meeting or appointment to make changes.
To edit a meeting or appointment
  1. Click the calendar icon on the Amazon WorkMail Web App toolbar.
  2. In Calendar, open the meeting or appointment and modify the meeting accordingly.
  3. If you are the leader of the meeting, do one of the following:
    • Click Send invitation to save the changes and send an updated invitation to the other participants.
    • Click Save to save the changes without sending an updated invitation to the other participants.


Moving meetings and appointments

To move a meeting or appointment, click and drag it to another day or time. You can also edit the meeting or appointment to move it.

To move a meeting or appointment

  1. On the Amazon WorkMail Web App toolbar, click the calendar icon.
  2. In Calendar, do one of the following:
    • Drag the meeting or appointment to a different day or time.
    • Open the meeting or appointment and change the date and time.
  3. If a meeting prompts you to send an updated invitation to participants, click Yes.


Canceling or declining meeting requests

To cancel or decline a scheduled meeting:

  1. Click the calendar icon on the Amazon WorkMail Web App toolbar.
  2. In the calendar, double-click the meeting and do one of the following:
    • If you are the leader of the meeting, click Cancel invitation.
    • If you are not the leader, click Decline.
    • In the Send meeting request cancellation dialogue box, do one of the following:
    • Click Edit the cancellation before sending to send a message with your response, and click OK.
    • Click Send the cancellation now to send your response without comment and click OK.



Printing calendar items

You can print a single appointment or meeting, or an overview of a specific time period, such as five or seven days.

To print calendar items
  1. Click the calendar icon on the Amazon WorkMail Web App toolbar.
  2. In the calendar, open the appointment and click Print.

To print a calendar summary

  1. On the Amazon WorkMail Web App toolbar, click the calendar icon.
  2. In the calendar, open the appointment.
  3. Click Print, Print overview.

Note
You can print overviews of the workweek (5 days) or the entire week (7 days).



Delete meetings and appointments

You can delete meetings or appointments that you no longer hold or do not want to attend.

To delete a meeting or appointment

  1. Click the calendar icon on the Amazon WorkMail Web App toolbar.
  2. In Calendar, open the context menu (right-click) for the meeting or appointment and click Delete.
